Aims of position:
• To provide a range of reception, clerical and administrative
functions essentials to the efficient running of TAMS Medical
Service.
• To ensure that community members, agencies and affiliated
organization have a reliable and culturally appropriate
administrative contact point at clinical reception.
• To provide administration support to TAMS staff.
• To provide support to the Chief Executive Officer as required.
• To provide support to the Practice Manager as required

Administrative Services:
• Reception of patients and visitors at TAMS clinic
• Ensure patients processing procedures are followed(e.g. new
Patients details, medical records)
• Ensure patient details are accurate and up to date prior to the
patient being seen in consult
• Maintain appointment, referral and transport register as directed
by Practice manager
• Prepare and maintain patient files, charts and service records.
• Maintain computerized and manual patient records processing
And claims.
• Answer telephones, take messages and distribute incoming
Correspondence/results.
• Undertake faxing, printing, photocopying, binding and other
Administrative duties as required.

• Maintain that appropriate health literature and brochures for
Clients are readily available in waiting room.
• Ensure clients, visitors and their families in the clinic reception
Maintain appropriate standards of behavior.
• Ensure that the clinic reception area is maintained in a clean and
hygienic condition.
• Typing, word processing and preparation of documents as required by Administration Co-Ordinator
• Ensure document scanning is completed daily
• Assist clients in accessing the required treatment services through
referrals.
• Liaise with external service providers to meet the needs of patient’s
and TAMS
• Generate reminder and appointment letters for patients
• Generate Pharmacy vouchers for patients as required by General
Practitioner and Practice manager


Record keeping:
• Maintain and update the TAMS clinic filling system.
• Maintain accurate records in patient health files for relevant
Patient health information such as important phone calls,
Appointments, complaints
• Maintain accurate register of incoming and outgoing mail
• Maintain equipment loan register is completed by TAMS
Staff at reception
• Maintain accurate filling system and records


General:
• Adhere to Infection Control procedures to prevent the potential transmission of infectious diseases
• Undertake training as required(including report preparation,
Record keeping systems, customer service, Microsoft office,
Conflict management, OH&S and office administration)
• Attend in-service training as directed
• Maintain the highest ethical and confidentiality standards at all times
• Follow clinic policy & procedures
